Booking Conditions

At Design Your Italy, we provide bespoke travel consultancy services to create tailored itineraries to meet your requirements. However, we are neither a travel agency nor a tour operator. We do not sell packaged trips or enter into travel contracts. Instead, we offer advisory services and planning support for your travel experience. Below are the conditions governing your booking with us:

1. Scope of Services

We specialise in travel planning and consultancy. While we liaise with various suppliers to create a seamless itinerary, we do not process payments for any suppliers involved in your trip. This includes, but is not limited to, hotels, transport providers, activities, tours, or excursions. You will be required to pay each supplier directly according to their specific payment terms and cancellation policies.

2. Booking Responsibility

By engaging our services, you agree to:

  • Take responsibility for managing payments to all suppliers involved in your trip.
  • Adhere to the terms, conditions, and policies of each supplier.
  • Acknowledge that we do not accept liability for cancellations, changes, or issues arising from any supplier arrangements.
  • Provide accurate and complete information about your requirements and the travellers in your party.

As the lead client, you are responsible for ensuring all members of your party comply with the terms and conditions.

3. Payments and Charges

Payments for consultancy services must be made directly to us. Payments for travel arrangements (e.g., hotels, tours) must be made directly to the respective suppliers. It is your responsibility to adhere to their deadlines to avoid penalties or cancellations. We will monitor your payment schedules and provide reminders to help you stay on track.
Any bank fees, currency exchange charges, or transaction costs incurred in making these payments are your responsibility.

4. Deposits and Consultancy Fees

To begin the planning process, a non-refundable consultancy fee or deposit is required. This deposit secures our time and expertise in designing your personalised itinerary and is separate from any supplier payments. Full payment for our services is due once the planning phase is complete and you have received your finalised itinerary.

5. Travel Insurance

It is a mandatory condition of our services that you obtain comprehensive travel insurance to cover all eventualities before, during, and after your trip. This includes, but is not limited to, trip cancellations, medical emergencies, lost baggage, or delays. We will not be held responsible for any costs incurred due to insufficient or inappropriate travel insurance coverage.

6. Travel Documentation and Visas

It is your responsibility to ensure that you and all members of your party have the required travel documents, visas, and health certificates to enter your chosen destinations. We can provide guidance on requirements but will not be held liable for issues arising from failure to obtain necessary documentation or comply with entry requirements.

7. Health, Mobility, and Special Requests

If you or any member of your party has a disability, medical condition, reduced mobility, or specific dietary or personal needs, you must inform us prior to booking. We will communicate these needs to suppliers where relevant but cannot guarantee that all requests will be accommodated.

8. Cancellations and Amendments

If you wish to amend or cancel any arrangements after they have been confirmed, you must notify us in writing. While we will assist in coordinating changes with suppliers, you must comply with each supplier’s amendment and cancellation policies. Any charges or penalties incurred as a result of changes will be your responsibility.
If a cancellation is covered under your travel insurance policy, you may be able to reclaim some or all of the costs.

9. Supplier Delays or Changes

While we strive to ensure a smooth travel experience, we are not liable for delays, cancellations, or amendments made by suppliers. In the event of travel disruptions, we will assist in providing guidance and alternative options where possible. However, any costs incurred for rebooking or alternative arrangements will be your responsibility.

10. Data Protection

To fulfil our consultancy services, we may require personal information such as names, contact details, travel preferences, and health or mobility information. This data will only be shared with suppliers involved in your trip to ensure your travel plans are met. All personal data will be handled in accordance with our Privacy Policy.

11. Final Travel Documents

We will provide you with a finalised itinerary and detailed instructions approximately two weeks prior to departure. This will include confirmations from all suppliers and any necessary travel information.

12. Liability and Disclaimer

As a consultancy service, our role is to design your itinerary and coordinate with suppliers on your behalf. However, we do not accept responsibility for any issues, cancellations, or damages arising from supplier arrangements. All contracts and liability rest with the individual suppliers.
We will provide assistance to resolve any issues during your trip to the best of our ability, but we cannot guarantee outcomes outside our control.

13. Special Requests

We are happy to relay any special requests (e.g., room preferences, and dietary requirements) to suppliers. However, we cannot guarantee that these requests will be fulfilled and are not liable for any failure to meet them.We will provide assistance to resolve any issues during your trip to the best of our ability, but we cannot guarantee outcomes outside our control.

By engaging with Design Your Italy, you acknowledge and agree to these Booking Conditions. These terms are designed to provide transparency and clarity, ensuring that your travel experience is well-coordinated and stress-free.
